Title: Library Assistant I - Cataloging
Position Definition: Performs duties requiring substantive knowledge of an ILS (Integrated Library System preferably Bibliomation’s Evergreen). Performs library operations in the functional area of circulation and cataloging; performs responsible and varied administrative work in issuing patron library cards and receiving and circulating library material. Uses the latest information technology to assist library patrons in their search for information and materials. Catalogs library materials into the system as needed.
Supervision Received: Works under the supervision of the Library Director. Works with independence. Makes regular statistical reports to the Director.
Supervision Exercised: May oversee volunteers and pages as necessary.
Examples of Essential Duties:
- Order all library materials through a variety of vendors. Orders library supplies as needed.
- Registers new patrons. Educates patrons on use of statewide online catalogs and research databases. Maintains patron database. Performs and oversees all circulation desk duties, including issuing library cards, charging and discharging library materials; inspecting returned material for damage; computing and receiving fines, fax and copy funds; reserves material for patrons; sorts returned material in preparation for shelving by the Pages; maintains circulation desk area in neat and functional condition.
- Assists patrons with the use of computers and with copying and faxing.
- Guides and instructs patrons in the use of the library’s online catalog, databases and internet searches. Refers patrons to other staff as necessary.
- Periodical collection-cataloging new titles, adding new issues daily, weeding and withdrawing old issues as needed.
- Retrieves, processes and maintains various loan materials as needed.
- Performs library projects as needed such as displays and bulletin boards.
- Assists in writing articles for the library newsletter.
- Responsible for “reader advisory”, guiding patrons in selecting materials suited to their preferences.
- Regularly reviews material to be sure they are in order in the stacks. Participates in inventory and weeding the collection, updating the new material status and removing damaged material as needed.
- Responsible for opening and/or closing the library, following proper procedures to secure money, start up/shut down computers and lights, and disarm/arm security system.
- Participates in training and professional development programs/ serves on Bibliomation and town committees as needed.
Examples of Incidental Duties:
- Creates materials promoting the use of the library including posters, handouts, newsletters and exhibits.
- Monitors library areas to maintain order and to provide a friendly environment for library patrons.
Minimum Qualifications:
Education/Experience: Bachelor’s degree in Library Science preferred. The ideal candidate will have a least 2 years of public library experience or an equivalent combination of education and experience in public service. Experience with automated library systems preferred especially Bibliomation/Evergreen.
Required Knowledge/skills/abilities: Candidate must be enthusiastic, friendly and customer service oriented. Must have a working knowledge of the nature and function of libraries, of library services, practices and procedures. Skilled in alphabetic and numeric filing. Keyboard/mouse skills using a computer and navigating library software. Ability to communicate effectively/ to establish and maintain effective working relationships with library users and staff; to provide guidance and instruction to subordinate personnel; to work independently and exercise initiative and good judgement in applying rules, procedures and instructions. Ability to multitask with constant interruptions.
License or Certification: Must have a valid Connecticut Motor Vehicle Operator’s license.
Physical Exertion/Environmental Conditions: Performs duties in an office environment and must dress in proper office attire. Must be able to lift and carry items. Must be able to reach, bend and climb. Spends much of the work day standing or walking. Routinely exposed to computer screens. Must be able to hear clearly (correctable to within normal limits). Stress involved in interaction with the public. May need to wear a mask. No personal cell phone use while on duty except for emergencies.
